(01)Why it matters

Your vendors need a resale certificate for each state you ship to.

A lapsed certificate shows up as sales tax on the next invoice.

  1. A lapse puts tax on the invoice

    When a certificate is missing, expired or for the wrong state, the vendor adds sales tax to the order. Arteriors, for one, says that tax can’t be refunded afterwards.

  2. The ship-to state decides

    Vendors charge sales tax by where an order ships, not where your studio is. A sofa from Kravet for a client in Naples needs a Florida certificate on file at Kravet, even if you work from Columbus.

  3. Each state sets its own expiry

    Florida’s DR-⁠13 expires each December 31. Illinois wants the CRT-⁠61 updated at least every three years; Michigan’s Form 3372 lasts four. Ohio, California, Texas and New York set no fixed date at all.

  4. Vendors each want it sent their way

    One vendor wants an email to its tax inbox, another an upload portal or Avalara CertCapture, another your sales rep. The Williams-Sonoma B2B program still lists a fax number.

Of the 18 trade programs Rae has checked, 11 say on their own pages that a missing or lapsed certificate means sales tax. Rae works on your side of the account: your vendors don’t sign up for anything.

(02)How it works

Upload once. Rae keeps every vendor current.

1 Upload once

Put your resale certificates, seller’s permit, business license, EIN letter and memberships in the vault, and type the dates printed on each. Where none is printed, Rae works it out from the state’s rule.

2 Add your vendors

Pick them from Rae’s list of trade programs, or add your own, and choose the states you ship to. Each vendor’s page shows what it needs on file, and what is missing.

Kravet wants a certificate for each state the studio ships to. New York’s names the seller, so Kravet gets its own.

3 Get reminded in time

Certificates follow their state’s rule; licenses and memberships follow the date printed on them. Rae tells you 60, 30 and 7 days before a vendor is due, and on the day, in the app and by email, with a summary every week.

The weekly summary goes out on Mondays and lists each vendor due within 90 days.

4 Approve or auto-renew

Rae prepares each renewal: a packet for portals, forms and reps, or an email with the certificates attached, sent from your Gmail when you approve it. After three approved without changes, you can let Rae renew that vendor without asking.

Nothing goes out without you

Rae writes it. You approve it.

When the new DR-13 arrives, one approval renews all 11 vendors.

Florida issues next year’s DR-13 each November, and every vendor that ships to Florida needs the new one by December 31. Upload it once. Rae prepares a renewal for each of those vendors, an email or a packet as each one asks, and you approve them all at once.

What happens to your documents

Your studio’s vault
Certificates, licenses and letters live in your studio’s vault. Only your studio can open them, and Rae keeps each earlier version.
Encrypted at rest
Documents are stored encrypted and served over HTTPS. Each change is logged with who made it and when.
Export or delete
Export everything as a zip whenever you like. Close your account and Rae erases your studio’s data 30 days later.
Your email, send-only
Connect Gmail and Rae sends approved renewals from your address with Google’s send-only permission. It can’t read your inbox, and you can disconnect at any time.

What Rae doesn’t do yet

  • Fill in state resale certificate forms. You upload the certificates you have.
  • Log in to vendor portals or fill in their web forms. Rae prepares the packet and a checklist; you submit it.
  • Read your inbox.
  • Import your vendor list. You add vendors one at a time.
  • Add your team. It’s one designer per studio for now.
  • Give tax advice. Before a large order, confirm a date with the vendor or your tax advisor.

Free during the pilot.

Anyone can create an account while the pilot runs, and Rae asks for no payment details. If Rae ever charges, you’ll see the price first and pay nothing unless you agree. Your vault exports as a zip whenever you want it.
