Who this covers
Rae (“we”) keeps an interior designer’s vendor trade accounts in good standing. This policy covers the Rae website and app, and the people who use them: designers with a Rae account, and visitors who join the waitlist.
What Rae holds
- Your studio’s details: legal name, display name, EIN, address, home state, the states you ship to, time zone and website.
- Your sign-in details: your name and email address, from Clerk.
- Your documents: each file you upload to the vault (resale certificates, permits, licenses, IRS letters and forms, membership cards, certificates of insurance), its earlier versions, and the facts read from them: the form, the state, issue and expiry dates, your business name, and permit or member numbers.
- Your vendor accounts: the vendors you add, your account numbers, vendor contacts, ship-to states, notes, renewal history, and the packets, email drafts and replies kept as evidence of each renewal.
- Tasks and notifications: what Rae has asked you to do, the reminders it has sent, and your notification preferences.
- An audit log: each change in your studio, who made it and when.
- Waitlist emails: if you join the waitlist on this website, your email address, the page you joined from, and when. Nothing else.
What Rae doesn’t hold
- Your email. Inbox access is not live. If it arrives, it will be off until you turn it on, and this policy will say exactly what it reads before it does.
- Payment details. The pilot takes no payments.
- Tracking. No advertising or analytics cookies; the only cookies keep you signed in.
How Rae uses it
Only to do what you signed up for: work out when each document and vendor account is due, remind you, prepare renewals, and keep evidence of what was sent. It emails you about your studio’s renewals, and waitlist visitors once, when Rae leaves the pilot.
You send each renewal to your vendors yourself, and Rae does not contact them. Your data is never sold or used for advertising.
Who processes it
A few companies handle data for Rae, each only to provide its service to Rae:
- Clerk, for sign-in. Holds your name, email address and sign-in details.
- Anthropic, for reading documents, and only when document reading is turned on. Receives each document you upload, to read its form, dates and numbers.
- Resend, for email. Receives your email address and the reminders and weekly summaries Rae sends you.
- Amazon Web Services (S3), for document storage, encrypted at rest.
The servers and database run with a hosting provider we’ll name here before Rae leaves the pilot.
How long it’s kept
Everything stays while your account is open, so your renewal history is there when a vendor asks for it.
Export at any time. Settings gives you a zip of your vault, with your vendors, tasks and settings in a file alongside.
Delete at any time. When you delete your account, your studio closes at once and no one can sign in to it. Thirty days later, Rae erases its data for good: documents and their versions, vendor accounts, tasks, notifications and the audit log. The 30 days are there in case you change your mind.
Waitlist emails are kept until we’ve written to you about Rae leaving the pilot, or until you ask us to remove yours.
Your choices
- Change your studio details and notification preferences in Settings.
- Export or delete everything, as above.
- Ask us to remove your waitlist email, or to explain anything here.
To ask, reply to any email from Rae.
